Mobile check-in works when employees can complete it in 10 seconds and managers trust the data. If it's slow, it's avoided. If the data is disputable, managers will still ask for paper. Both need to align.

Using a personal phone is not mandatory. A shared device with a PIN can also provide verified attendance, even without GPS. The key is not that everyone has an app-enabled phone, but that entry isn't a separate task.

Why Queue at the Entrance

Because attendance is recorded on a single machine, in one place, and entry can only happen there. Shift changes cause congestion. Latecomers and punctual arrivals both queue. Paper is even slower: someone writes, someone signs, and by evening it's illegible.

Mobile entry decentralises this. Everyone checks in at their own pace, where the work begins. No shared queue, no shared logbook.

Three Working Models

There isn't just one solution. The location determines which is best.

  • Personal phone: employees start their shift on their own device in seconds
  • Shared tablet: at the entrance or locker room, with a PIN, without a personal phone
  • NFC board: a single touch at a fixed point, accurate indoors without GPS

GPS is good outdoors. Indoors, in underground garages, or factories, it often fails. That's why there are PINs, NFC, and iBeacon. Attendance is verified where the work is, not where the signal is strong.

Benefits for Employees and Managers

Employees don't wait. No need for a key to the machine, no need to find the porter, no need to remember "I'll write it down later." They check in, work, and check out.

Managers don't guess. They see who's in, who's late, who hasn't closed their shift. Monthly reports are based on daily check-ins, not memories.

When Not to Force GPS

If the team uses a shared device. If the location is indoors. If employees don't want to use personal phones for work. These aren't resistance, but real operations. The system should adapt to this, not the employee to the software.

Freedom here means quick check-in, clear data, no queue at the entrance. If this is achieved, record-keeping isn't a burden but a natural part of work.
